Client Appointment Network

Terms & Conditions

Effective Date: October 4, 2026

Version: 1.1

This policy applies to participation in the HoopCasters Client Appointment Network and explains the payment, cancellation, appointment, credit, and dispute terms associated with Network participation.

1. Network Pricing

For outside professionals joining the Client Appointment Network, current introductory pricing is:

Existing eligible HoopCasters Buyer Checkpoint partners may participate in the Client Appointment Network for $159/month with no additional setup fee, plus $250 per accepted exclusive buyer appointment.

Appointment availability depends on buyer demand and is not guaranteed.

2. One-Time Setup Fee

The $297 setup fee is non-refundable once the professional's Client Appointment Network account has been activated.

The setup fee applies to establishing and activating the professional's Network participation and account access.

3. Monthly Network Membership

The Client Appointment Network Membership is billed at $159 per month.

There is no long-term membership commitment. A professional may cancel the monthly Network Membership at any time.

Cancellation stops future monthly membership charges. Payments already made for the current billing period are non-refundable, and Network membership access continues through the end of the already-paid billing period.

A professional who cancels may reactivate the Client Appointment Network Membership. Reactivation resumes recurring monthly billing under the membership terms and pricing presented at the time of reactivation.

4. Appointment Offers and Review

Appointment availability is based on buyer demand and is not guaranteed.

When an appointment opportunity is offered, the professional receives a limited review window to review the available opportunity information and decide whether to accept it.

The length of the review window may vary and will be communicated with the individual appointment offer.

Receiving or reviewing an appointment opportunity does not constitute acceptance and does not create an appointment charge.

Accepted appointments are exclusive to the accepting professional and are not simultaneously sold to another Network professional.

5. What Constitutes an Accepted Appointment

An appointment is considered accepted when:

  1. The professional voluntarily completes the required $250 appointment payment; and
  2. HoopCasters unlocks the buyer's contact information for that professional.

Opening an appointment offer, reviewing the opportunity, beginning checkout, or allowing an offer to expire does not constitute acceptance.

Once payment has been successfully completed and the buyer's contact information has been unlocked, the appointment fee is non-refundable except as specifically provided under the Invalid Contact Information section below.

6. Invalid Contact Information

If the buyer contact information provided with an accepted appointment is materially invalid, the professional may report the issue to HoopCasters within 48 hours after the buyer's contact information is unlocked.

For purposes of this policy, materially invalid contact information means:

HoopCasters may review and verify the reported contact information before approving a credit.

If HoopCasters verifies that the contact information qualifies as materially invalid under this policy, the professional will be eligible for a replacement appointment credit rather than a cash refund.

A buyer's failure to answer, respond, attend, continue communicating, obtain financing, enter into a transaction, or ultimately purchase a home does not by itself constitute invalid contact information.

7. Buyer Cancellations, No-Shows and Non-Response

Buyer behavior cannot be guaranteed.

If valid buyer contact information was provided, a buyer's cancellation, failure to respond, failure to attend an appointment, decision not to proceed, or other lack of participation does not qualify for an automatic refund, credit, or replacement appointment.

Professionals are responsible for making reasonable efforts to contact and follow up with buyers whose contact information has been provided.

HoopCasters may, at its discretion, address unusual circumstances on a case-by-case basis. Any discretionary accommodation does not create an entitlement to similar treatment for other appointments.

8. Appointment Outcomes

HoopCasters does not guarantee that an accepted appointment will result in a response, meeting, financing approval, representation agreement, transaction, commission, closing, or other business outcome.

The appointment fee provides the professional with exclusive access to the accepted buyer opportunity and the associated buyer contact information, subject to this policy.

9. Billing Errors and Disputes

Billing or appointment disputes should be submitted to HoopCasters within 7 days of the applicable charge or appointment unlock.

HoopCasters will review the transaction, appointment records, payment records, and other relevant information.

Verified billing errors, including duplicate charges, incorrect charge amounts, or confirmed technical payment errors, will be corrected as appropriate.

Refunds, credits, and replacements are otherwise governed by the terms of this policy.

10. Failed or Past-Due Membership Payments

If a recurring Client Appointment Network Membership payment is declined, fails, or otherwise becomes past due, HoopCasters will provide a grace period for the professional to resolve the payment issue.

HoopCasters may send payment reminders to the professional's account email address during the grace period.

If the past-due membership payment remains unresolved through the end of the grace period, HoopCasters may suspend Network access, appointment opportunities, and routing until the outstanding membership payment is successfully resolved.

If the outstanding membership payment is subsequently completed successfully, eligible Network access and routing will be restored.

A payment-related suspension does not constitute cancellation of amounts already due and does not eliminate payment obligations incurred before the suspension.

11. Summary of Refund and Credit Treatment

$297 Setup Fee
Non-refundable after the Network account has been activated.
$159 Monthly Network Membership
May be canceled at any time. Cancellation prevents future monthly charges. The current paid billing period is non-refundable, and access continues through the end of that billing period.

Verified Invalid Contact Information
Eligible for a replacement appointment credit when reported within 48 hours and verified by HoopCasters. No cash refund.
Buyer No-Show, Cancellation or Non-Response
No automatic refund, credit, or replacement when valid buyer contact information was provided.

12. Suspension and Termination for Misconduct

HoopCasters reserves the right to immediately suspend or terminate a professional's participation in the Client Appointment Network if HoopCasters reasonably determines that the professional has provided false or misleading information, misrepresented professional licensing or credentials, engaged in fraudulent or deceptive activity, misused buyer or customer information, abused or attempted to manipulate the platform, shared account access without authorization, engaged in harassment or unlawful conduct, committed payment or chargeback fraud, or materially violated this policy.

HoopCasters may temporarily suspend Network access, appointment opportunities, routing, or other Network privileges while suspected fraud, licensing issues, abuse, or other violations are investigated.

If Network participation is terminated for misconduct, future recurring Network membership charges will be discontinued. The professional will not be entitled to a refund of setup fees, membership fees for the current billing period, accepted appointment fees, or other amounts already paid, except where a refund is required by applicable law.

Termination does not eliminate payment obligations, liabilities, or other responsibilities incurred before termination.
